How we work
The engagement model, the lifecycle, and the data behind a SafeMinds, Better Work® programme. From first scoping call to embedded organisational capability.
The engagement model
Every SafeMinds engagement follows the same four phases. Co-owned from the start, built on evidence, and designed so your organisation retains full capability to sustain outcomes independently.
Discover
Map the current state. Understand organisational systems, capability landscape, and data environment before anything is designed. The SafeMinds™ Index produces the baseline maturity score.
Design
Co-design the plan. Assessment instruments, control frameworks, training curricula, and governance structures designed to fit the specific operating context and the priority Pillars.
Activate
Deploy the activities and develop capability. Interventions ship, training rolls out, controls move from planned to operational. SafeMinds supports execution at the pace your organisation can absorb.
Embed
Independent embedding and sustainability. Knowledge transfer is the design principle. Your organisation continues with increasing internal ownership and confidence, sustained beyond the engagement.
Three years to embedded capability
The maturity framework turns psychosocial safety from a compliance exercise into a continuously improving capability. Most organisations move from Level 1 or 2 to Level 4 across a three-year programme.

The data we use
No new survey required. SafeMinds works across four categories of organisational data. You do not need all four. Partial data still generates a scored maturity assessment.
Workforce & organisational profile
Headcount by role, tenure, and business unit. Organisational structure, reporting lines, span of control. Employment type breakdowns.
- HRIS exports (SAP, Workday, Employment Hero)
- Organisational charts
- Workforce planning data
Psychosocial indicators
Existing engagement and pulse survey results. EAP utilisation and referral data. Absenteeism and presenteeism metrics. Complaints, grievances, incident reports.
- Engagement survey results (any platform)
- EAP provider reports
- Leave and absence records
System maturity assessment
Current WHS policies, procedures, and governance documents. Evidence of risk assessments and control measures. Regulatory audit findings and corrective actions.
- WHS management system documentation
- Previous audit reports
- Board safety committee minutes
Health & safety outcomes
Workers' compensation claims data. Lost time injury frequency rates. Psychological injury claims and costs. Return-to-work rates and durations.
- Workers' compensation claims history
- LTIFR and TRIFR records
- Return-to-work programme data
How data flows through the platform
Three stages take your existing data from submission to scored insight.
Stage 1
Upload
Data is submitted via a secure upload portal. Spreadsheets, CSV exports, PDFs, and system reports. No custom integration required to start.
Stage 2
Verify
PII detection flags and removes personally identifiable information. Data is validated against expected formats. Gaps and anomalies are surfaced before scoring begins.
Stage 3
Ingest & score
Verified data is mapped to the 10 Pillars. Scores are calculated per Pillar, aggregated into an overall 0–100 maturity score, and benchmarked against sector peers.
What happens to your data
Banking-grade security. Government-adopted standards. Your data is never sold, never shared, never used to train models.
PII de-identification
Detection and removal of personally identifiable information before any data enters the scoring engine.
Banking-grade security
Data is encrypted in transit and at rest. Infrastructure meets the security standards required by Australian financial institutions and government agencies.
Australian data sovereignty
All data is stored within Australia. SafeMinds does not transfer data offshore or to third-party analytics services without explicit consent.
Working with the data you have
Most organisations come to SafeMinds with incomplete or inconsistent data. That is expected, and it is part of what SafeMinds identifies.
Gaps are scored, not excluded. Where data is absent, SafeMinds scores that Pillar lower. A gap in evidence is a gap in maturity.
Inconsistent formats are normalised. Data from different systems (HR, WHS, payroll) is mapped to a common schema before analysis. You do not need to clean it first.
Missing data is surfaced explicitly. The verification stage produces a Data Availability Report showing which inputs are present, partial, or absent before any scoring begins.
Partial data still produces a scored assessment. Even with only two of the four data categories, SafeMinds generates a maturity score. The score reflects what is known, not an average of what is missing.
Three ways to deliver
The SafeMinds, Better Work® framework supports organisations of every size and structure. The Index, the Interventions, the maturity framework, and the regulatory mapping remain identical across delivery routes. What changes is the level of expert hand-holding.
Self-guided
Best for: mature internal teams with capacity to lead implementation.
- Direct access to the SafeMinds™ platform
- Self-service maturity assessment and intervention catalogue
- Knowledge base, templates, and reporting tools
Supported
Best for: organisations wanting direct SafeMinds guidance through transformation.
- SafeMinds team-led delivery across Discover, Design, Activate, Embed
- Board and executive briefings
- Co-design of governance and reporting structures
Partner-enabled
Best for: organisations preferring delivery via accredited consultants or existing professional services partners.
- Delivery via the SafeMinds accredited partner network
- Framework integrity maintained across all engagements
- Quality assurance retained by SafeMinds
For most organisations, the partner-enabled pathway is the default. Capability is built alongside the framework, not after it. Partners support onboarding, audit support, training, transformation strategy, and HR and safety function support across organisational layers.
What to bring to get started
The most common starting data package. With these, SafeMinds can begin a full assessment within days.
Minimum viable dataset
- Headcount report (by role, tenure, business unit)
- Most recent engagement or pulse survey results
- Workers' compensation claims summary (last 24 months)
- Current WHS policy and risk register
Ideal starting dataset
- All of the above, plus
- EAP utilisation report
- Absenteeism and leave data
- Any previous psychosocial risk or audit reports
- Organisational chart and reporting structure
